Mailbox Storage

Monitor institution storage pools, per-mailbox quotas, and request additional capacity from ICTA.

Overview → Storage shows how much disk your institution uses across hosted mailboxes and file attachments. Only ICT administrators and Authorizing Officers can open this page (mailboxes:admin); everyone else is redirected to the dashboard.

Institution storage pool

The Institution storage pool card shows the pool ICTA granted and how it is split:

A separate Institution total card shows combined usage against the org quota (or Unlimited when no quota is set).

A warning banner appears when the pool crosses roughly 80% used (by actual usage or committed quota), prompting you to request more from ICTA.

Per-mailbox breakdown

The report lists each mailbox with:

  • Maildir: message bodies and attachments stored on the mail server
  • S3: large files and composer uploads linked to the mailbox

Click a mailbox row to open its detail page or grant additional quota inline.

Largest files

A table ranks the biggest stored files org-wide so you can find messages or attachments consuming disproportionate space.

Request more storage

When the pool is tight:

  1. Click Request more from ICTA on the Storage page to grow the institution pool (ICTA-tier request), or
  2. Open a mailbox detail page and click Request more storage for that mailbox (org-tier request, decided by an ICT administrator).

ICTA reviews institution-pool (ICTA-tier) requests the same way as mailbox allocation; org admins decide mailbox-level (org-tier) requests in-app from the Storage page. Approvals increase the institution pool or the mailbox grant.

Storage requests are separate from mailbox count allocation. You can have enough mailboxes but still need a storage increase for heavy attachment use.

Grant quota to a mailbox

ICT administrators can grant bytes from the available pool to a specific mailbox without waiting for ICTA, up to what remains uncommitted in the org pool.
